Most Salesforce orgs have the same 12 categories of problems. They accumulate slowly, invisibly, until the org is slow, the data is unreliable, and the admin is spending half their time on preventable issues. An AI scan surfaces all of them in under 24 hours.

1. Unused Custom Fields

The average mature Salesforce org has 150–300 custom fields per major object. Roughly 40% are unused — created for a project that ended, a feature that was never adopted, or an integration that was replaced. Unused fields clutter page layouts, slow down record loads, and confuse users.

What AI finds: Fields where 95%+ of records have the field blank, fields not referenced in any flow, validation rule, report, or formula field.

What you do: Remove from page layouts first (non-destructive). After 30 days with no complaints, delete the field.

2. Broken or Inactive Flows

Flows get deactivated when something breaks, then forgotten. Or they get replaced by a new flow, but the old one stays in the org as a draft. Inactive flows aren't causing problems, but they're creating confusion and maintenance debt.

What AI finds: Flows in Draft or Inactive status that haven't been modified in 90+ days, flows with no active versions, and duplicate flows that appear to serve the same purpose.

3. Duplicate Records

Duplicate Contacts, Leads, and Accounts corrupt pipeline reports, inflate email lists, and cause missed follow-ups. Most orgs have 5–15% duplicate rates on Contact and Lead objects.

What AI finds: Records matching on email, phone, or name+company combinations. Duplicate record sets created by Salesforce's built-in duplicate management rules.

4. Permission Set and Profile Bloat

Permission sets accumulate. Someone creates a permission set for a specific use case, the use case changes, and the permission set stays — assigned to users who no longer need it. Over-permissioned users are a security risk and a compliance issue.

What AI finds: Permission sets assigned to 0 users, permission sets with overlapping permissions, users with System Administrator profile who don't need it.

5. Missing Validation Rules on Critical Fields

Without validation rules, users save records with incomplete or incorrectly formatted data. The most common gaps: email format on Contact/Lead, required Amount on Opportunity past Prospecting stage, required Close Date on Opportunity.

What AI finds: Critical fields with high blank rates that don't have corresponding validation rules enforcing completion.

6. Stale Reports and Dashboards

Reports and dashboards that haven't been viewed in 180+ days are clutter. They slow down the Reports tab, confuse users looking for current reporting, and create maintenance overhead when schema changes break them silently.

What AI finds: Reports not run in 180+ days, dashboards not viewed in 90+ days, reports with broken filters due to deleted fields or picklist value changes.

7. Apex Classes and Triggers Without Test Coverage

Salesforce requires 75% test coverage to deploy to production. But many orgs have Apex that meets the minimum threshold with low-quality tests that don't actually validate behavior. These classes are deployment risks.

What AI finds: Apex classes and triggers below 85% test coverage, test classes with no assertions (tests that pass without validating anything).

8. Integration User Permission Issues

Integration users often accumulate permissions over time as new integrations are added. The principle of least privilege erodes. An over-permissioned integration user is a security risk — if the connected app is compromised, the blast radius is larger than it needs to be.

What AI finds: Integration users with System Administrator or broad object-level permissions, integration users with access to sensitive objects they don't need.

9. Record Type and Page Layout Mismatches

Record types get created for business reasons that change. Page layouts get assigned to record types and then forgotten. The result: users see fields that don't apply to their record type, or miss fields that do.

What AI finds: Record types with no records, page layouts assigned to record types but not used by any active profile, required fields on page layouts that aren't required by validation rules (inconsistent enforcement).

10. Org Storage Usage

Salesforce storage limits are real. File and attachment storage fills up faster than data storage, often from large email attachments synced via integrations. When storage hits the limit, users can't save records.

What AI finds: Current storage utilization, largest objects by record count, file storage by content type, projected time to storage limit at current growth rate.

11. API Usage and Limit Proximity

Salesforce API limits reset daily. Orgs with multiple integrations can hit the limit, causing integration failures that look like bugs. Most admins don't monitor API usage until something breaks.

What AI finds: Current daily API usage vs. limit, peak usage times, integrations consuming the most API calls, projected limit breach dates.

12. Health Check Score and Security Gaps

Salesforce's built-in Health Check scores your org's security settings against a baseline. Most orgs have a score below 80 — not because of active security failures, but because default settings haven't been hardened.

What AI finds: Current Health Check score, specific settings below the recommended baseline (password policies, session settings, network access, certificate expiration).
